1. Data controller and contact details
The controller responsible for the processing of personal data described in this privacy policy is:
IT-Beratung Ralf Bub GmbHRepresented by Managing Director Ralf Bub
Weiherweg 8 a
79194 Gundelfingen
Germany
Phone: +49 761 2170958
Email: info@rb-itberatung.de
You can contact us using these details if you have questions about data protection or wish to exercise your rights. Personal data is information relating to an identified or identifiable individual, such as contact details, the content of messages or an IP address.
2. Providing the website and server logs
When you visit this website, your browser sends information that is technically necessary to the web server. This includes, in particular, your IP address, the date and time of access, the page or file requested, information about your browser and operating system and, where applicable, the page previously visited if your browser transmits it. Technical logs may also record the response status and information about errors when accessing the site.
We process this data to deliver the website, maintain stable operation, investigate technical errors and detect and prevent attacks or abusive access. The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is to provide a secure and functioning website.
You do not need to create a user account simply to view the website. It is not technically possible to avoid transmitting all connection data needed to retrieve a page. The criteria for retention and deletion are set out in section 7.
This website is provided over an encrypted HTTPS connection. Ordinary email communication, however, does not automatically provide end-to-end encryption.
3. Cookies and appearance preferences
This website does not use cookies. Navigation and the preparation of an enquiry also require no cookies. Cookie consent is therefore not required for these functions.
Irrespective of this, visiting the website involves processing the technical connection data described in section 2. Not using cookies does not mean that operating a website involves no personal data at all.
Appearance modes: Light, Dark and Neon
Unless you make your own selection, the appearance follows the light or dark preference of your operating system or browser. If you explicitly select Light, Dark or Neon under Appearance, only this selection is saved in your device's local browser storage (LocalStorage). No cookies are set and no tracking identifiers are created. This function does not send the stored value to our server.
Your selection remains available for later visits in the same browser. Selecting System removes the stored preference. You can also remove it by deleting this website's data in your browser. If local browser storage is blocked, switching modes still works on the page currently open.
4. Contact, presentations and demo access
Enquiries by email or phone
When you contact us, we process the information you provide to handle your enquiry and coordinate further steps. This may include your name, business contact details, company, message content and information about your plans.
Where the enquiry concerns entering into or performing a contract with you personally, the legal basis is Article 6(1)(b) GDPR. For other enquiries and communication with company contacts, processing is based on Article 6(1)(f) GDPR. Our legitimate interest is to respond to business enquiries and maintain business relationships. Where we must comply with statutory retention obligations, Article 6(1)(c) GDPR applies.
Forms for preparing an email
The enquiry forms on this website prepare a message in your email application. This function does not send the information you enter directly to our web server. We receive its contents by email only when you send the prepared message yourself.
Fields marked as required are needed to prepare a meaningful enquiry. You are not legally obliged to use these forms or provide additional information. Without sufficient information and a way to contact you, we may be unable to process your enquiry, or may only be able to do so to a limited extent. Alternatively, you can call or email us directly.
Presentations and Myfactory demo access
If you request a presentation or demo access, we use your contact and company details, along with information about your requirements, to review the enquiry and agree the next steps with you. The legal bases described above apply. If additional personal data is processed or further recipients are involved when an account is provided, the relevant information supplied in connection with that access must also be taken into account.
5. Remote support and external links
Our remote support page contains links to downloads from pcvisit and AnyDesk. A simple link does not automatically load the respective service into our website. Following a link establishes a connection to the relevant provider. That provider's privacy information also applies to its website and the download.
During a remote support session agreed with us, we may view or process screen content and technical information about your system to the extent necessary to provide support. Depending on the software used, connection and session data is also processed. Processing serves to provide the agreed assistance. The legal basis is Article 6(1)(b) GDPR if you are a party to the contract yourself, and otherwise Article 6(1)(f) GDPR, based on our legitimate interest in supporting our customers and their contact people. When processing customer data on your behalf, the relevant contractual data protection agreements also apply.
6. Recipients and service providers
Within our company, access to your data is limited to people who need it to deal with the relevant matter or maintain technical operations.
Outside our company, providers of hosting, IT operations and email services may, in particular, act as recipients or processors to the extent required. During an agreed remote support session, providers of the software used may process connection and session data. Where service providers process data on our behalf, the requirements of Article 28 GDPR apply.
Data is transferred to public authorities, courts or other authorised bodies where a legal obligation or another valid legal basis exists. We do not disclose data merely because you have sent us a general enquiry; the relevant purpose and applicable legal basis determine any disclosure.
7. Retention and deletion
Retention periods depend on the respective purpose of processing. The following criteria apply:
Technical log data
This data is needed only for as long as necessary to maintain operation, investigate technical errors or prevent and investigate security incidents. Once it is no longer needed for these purposes, the data is deleted or anonymised. Where there are specific indications of an attack, longer retention limited to that incident may be necessary, for example to preserve evidence or enforce legal claims.
Enquiries and correspondence
This data is deleted once your enquiry has been fully dealt with, provided that no further business coordination, statutory retention obligation or necessary legal defence prevents deletion. If a business relationship develops, relevant information may be included in the associated contractual and communication records.
Legal obligations and claims
Business records subject to mandatory retention are kept for the applicable periods under commercial and tax law. Data needed to establish, exercise or defend legal claims may be retained until it is no longer required for that purpose. Article 6(1)(c) GDPR applies to compliance with legal obligations; the necessary protection of legal claims may be based on Article 6(1)(f) GDPR.
8. Your rights
Subject to the relevant legal conditions, you have the following rights:
Access (Article 15 GDPR): You can request information about whether we process personal data concerning you and, if so, which data.
Rectification (Article 16 GDPR): You can request the correction of inaccurate data and the completion of incomplete data.
Erasure (Article 17 GDPR): You can request deletion of your data where there are no legal grounds for continued processing.
Restriction (Article 18 GDPR): In the circumstances provided by law, you can request that we restrict the processing of your data.
Data portability (Article 20 GDPR): Where the legal conditions are met, you can receive the data you have provided to us in a structured, commonly used, machine-readable format or request its transfer to another controller.
Withdrawal of consent (Article 7(3) GDPR): Where processing is based on your consent, you may withdraw that consent at any time with effect for the future. This does not affect the lawfulness of processing carried out before withdrawal.
To exercise your rights, you can email us at info@rb-itberatung.de.
9. Your right to object
Where we process your personal data on the basis of Article 6(1)(f) GDPR, you may object under Article 21(1) GDPR on grounds relating to your particular situation. We will then stop processing the data concerned unless we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or the processing serves to establish, exercise or defend legal claims.
Where personal data is processed for direct marketing, you may object at any time without giving reasons. The data concerned must then no longer be processed for those purposes.
10. Right to complain to a supervisory authority
If you consider that the processing of your personal data infringes data protection law, Article 77 GDPR gives you the right to lodge a complaint with a data protection supervisory authority. In particular, you may contact the authority in the place of your habitual residence, place of work or the place of the alleged infringement.
For our company, you can contact the following authority in particular:
